DynaFile Integrates with Paylocity for Secure and Automated HR Document Management

DynaFile, a provider of HR employee document management solutions, has announced a new integration with Paylocity, a cloud-based HR and payroll platform widely used by organizations to manage workforce data. The integration is designed to connect employee data stored in Paylocity with DynaFile’s secure cloud-based document management system, helping HR teams streamline document handling and strengthen compliance throughout the employee lifecycle.

While HRIS platforms like Paylocity effectively manage employee information such as payroll, benefits, and personnel data, many organizations still store related employee documents in separate locations. Files such as onboarding forms, tax documents, and employment agreements are often scattered across shared drives, email attachments, or even physical filing systems. This fragmented approach can create compliance risks, limit audit visibility, and increase the administrative burden on HR teams responsible for managing sensitive employee records.

The new integration aims to address these challenges by creating a direct connection between Paylocity and DynaFile. By linking HRIS data with a structured document management platform specifically designed for employee records, organizations can maintain better control over how documents are stored, organized, and accessed.

According to Brian McCleary, Vice President of Operations at DynaFile, integrating with HR platforms such as Paylocity allows companies to connect trusted employee data with secure document storage systems. The goal is to reduce manual processes, improve data consistency, and give HR teams greater confidence in how employee records are maintained.

Through the integration, employee data from Paylocity automatically populates employee folders in DynaFile, ensuring that documents are associated with the correct individual from the start. Documents generated through Paylocity workflows can then be automatically routed into DynaFile, where they are categorized by employee record, document type, or retention requirement. This eliminates the need for HR teams to manually download, rename, or organize files. For example, when a new employee completes onboarding within Paylocity, key documents such as W-4 forms, I-9 forms, and direct deposit paperwork are automatically stored in the employee’s DynaFile folder. This automated process reduces administrative effort while helping organizations maintain organized and accurate employee records.

DynaFile also provides features designed to support compliance and security. These include role-based access controls, document-level permissions, automated retention schedules, and detailed audit trails. Files are indexed using consistent metadata, allowing HR teams to quickly locate documents by employee name, document type, or compliance category when needed. 

The integration can be customized to match an organization’s internal policies, retention rules, and access permissions. This flexibility allows companies to adapt their document management structure as they grow, expand into new regions, or respond to changing compliance requirements.
